Sound familiar?

Agencies run six-figure room blocks on WordPress, spreadsheets, and memory.

Hand-built wedding pages

Every new couple means hours in WordPress rebuilding the same rate tables, deadlines, and FAQs from scratch.

Card numbers in web forms

Guests type full credit card details into a form on your site. That is a PCI liability waiting for its moment.

Pickup lives in a spreadsheet

Contracted nights, booked nights, and the attrition date sit in different tabs. You find the gap when it is already expensive.

Reminders typed one by one

Final payments come due and someone on your team writes forty individual emails. Every month.

Couples asking for status

"How many rooms are left?" arrives by text at 9 PM, and the honest answer requires opening three systems.

Sold-out categories booked anyway

A guest grabs a Garden View that no longer exists in the block, and now you are renegotiating with the resort.

The platform

Everything between "contract signed" and "final guest paid."

Command center

Every block ranked by what needs you first. Pickup pace, open risks, deadlines, and overdue payments roll into one prioritized view.

Guest booking pages

A branded page per wedding, generated from your block data. Rate tables, key dates, live availability, and a request form. No WordPress.

Couple approvals

A sold-out category never books silently. The couple approves or declines on their dashboard, and every decision is recorded.

Payments and reminders

Stripe checkout on your own account, automatic paid and unpaid status, and a daily reminder sweep that does the chasing for you.

Attrition radar

Release dates, perk thresholds, and below-floor pickup surface as ranked risks weeks before they cost you money.

Couple website builder

Couples pick a template, add their story, schedule, and photos. Your booking engine sits in the middle of every design.

The Garden View problem

A sold-out category should never book silently.

The couple contracted 10 Garden View rooms. All 10 are booked. Guest number 11 wants one anyway. In every other tool, that booking just happens, and you discover it when the resort calls.

  1. 1

    Guest requests the full category

The request is captured but held, never silently accepted.

  2. 2

    Couple decides on their dashboard

Approve and ask the resort for one more room, or decline and offer another category.

  3. 3

You ask the resort, log the answer

Approved, denied, or changed terms. The trail is permanent.

  4. 4

    Guest confirmed, contract intact

Inventory updates, the payment schedule generates, reminders start.

Payments without the liability

Stop collecting card numbers in web forms.

Some of the best-known agencies in this industry still ask guests to type full card details into a website form, then key them into the resort system by hand. That model carries real PCI exposure and hours of manual work.

  • Guests pay through Stripe-hosted checkout on YOUR Stripe account
  • Webhooks flip payments to paid the moment they clear
  • Wire and resort-direct payments tracked with one click
  • A daily sweep emails reminders before due dates and after
  • The platform never holds funds and never sees a card number

Built inside a working agency, not a pitch deck.

Sera Agency Ops started as the internal operating system of a Riviera Maya room-block agency and runs its real weddings today. Every screen exists because a coordinator needed it on a real block, with a real attrition date attached. Your data stays yours: agencies are isolated from each other at the database layer, and that includes us.

Questions agencies ask us

Does the app hold guest money?+

No. Guests pay through your own Stripe account via Stripe-hosted checkout, or directly to the resort. The platform tracks status and sends reminders. It never touches funds and never sees card numbers.

We track everything in spreadsheets today. How painful is the switch?+

One block takes about 20 minutes: enter the contract terms, import your rooming list as CSV, publish the guest page. On the Scale plan we migrate your existing blocks for you.

Will our agency's data be visible to other agencies on the platform?+

Never. Isolation is enforced at the database layer with row-level security, not just in application code. No agency can read another agency's blocks, terms, guests, or payments.

What happens when a guest wants a room category that is sold out in the block?+

The request goes to the couple as a pending approval instead of booking silently. If they approve, you ask the resort and log the answer. If they decline, you offer the guest another category. The full trail is stored.

Do couples and guests need accounts?+

No. Couples get a private tokenized link to their dashboard and website editor. Guests use the public wedding page. Only your team signs in.

Who is behind this?+

It was built inside a working Xcaret room-block agency and runs that agency's real blocks. We productized the operating system because nothing on the market modeled room blocks properly.
